Programs help you manage how employees use Uber for business purposes. You can create programs to control who can use a service, when it can be used, and what policies or limits apply.

Programs are available for services such as employee Travel and Meals, Vouchers, and Courtesy Rides (Central), as well as other Uber for Business products.

Please note that Central, Vouchers, and Health are not currently supported on the updated dashboard. If your organization requires these, please create a new copy organization by selecting the program you want to use (Vouchers/Central/Health). You’ll be guided through the setup process. For any questions or troubleshooting, contact business support via live chat on your Uber for Business dashboard.

Before creating your programs

Your organization’s billing setup determines how eligible business activity is paid for.

For eligible new organizations that use Employee Travel or Meals, an administrator may choose one of the following during organization onboarding:

  • Employees pay and expense later: Employees pay for eligible rides or meals using payment methods on their individual Uber accounts.
  • Your company pays: The organization pays for eligible business activity according to its company billing setup.

This billing choice applies to the organization, not to individual programs.

Once organization billing setup is complete, you can’t independently change a Travel or Meals program between employee-paid and company-paid billing. Please reach out to Uber For Business Support for assistance with this change.

Choosing a program during the onboarding process

During the onboarding process, you’ll be prompted with a recommended program, you can select the suggested program or choose to take a survey from the top right of the screen to further decide which program or service suits best for your organization.

Once the type of program is selected, you can optionally add rules/restrictions that you want to apply for the program you are creating (such as spending limit, time, and locations allowed).

Note: You can always create or edit programs later, after completing account setup.

Creating a new program after the onboarding process

To create a program:

  1. Sign in to business.uber.com.
  2. Select All programs.
  3. Select Create new.
  4. Choose the program type you want to create.
  5. Enter the program name and applicable program details.
  6. Configure the program’s policies and controls.
  7. Add eligible employees or groups.
  8. Review your selections and create the program.

For Travel and Meals programs, eligible activity follows the billing setup selected when your organization was created.

If your eligible organization uses Employees pay and expense later, employees pay for eligible Travel and Meals activity using payment methods on their individual Uber accounts.

If your organization uses Your company pays, eligible activity is paid according to your organization’s company billing setup.

Setting a program to default

Uber for Business Admin can create one or more programs on the business account, however, you can set only one preferred program as a default to the organization that all the new employees added to the org will get applied to (If not manually assigned to a different program). All the rules set to the default program will apply to the new employees that would be added to the business account.

To set an existing program as default, go to the desired program and select Enable the program as default.

If creating a new program, turn on the Auto enroll new people to this program option to make it the default.

When adding a new person, the Admin can manually deselect the default program if needed.

Managing program policies

Your organization’s billing setup and its program policies serve different purposes.

Billing setup determines who is responsible for paying for eligible activity.

Program policies determine how employees can use a Travel or Meals program, including applicable spending, time, location, and other controls.

Organizations where Employees pay individually can continue to use applicable Travel and Meals policies and controls.

Can different programs use different billing setups?

No. Employees pay and expense later and Your company pays are organization-level billing setups.

You can’t configure one Travel program as employee-paid and another Meals program as company-paid within the same organization through this feature.

Some Uber for Business services, including Central, Vouchers, Uber Health and certain guest or coordinator-led services, require centralized company billing. If your organization needs services with different billing requirements, contact Uber for Business Support to understand the account structures available for your needs.

Can I change a program from employee-paid to company-paid?

Not independently. A Travel or Meals program follows the billing setup of its organization. There is no program-level setting for changing who pays.

The self-serve billing choice is made while setting up an eligible new organization and can’t be changed through the onboarding feature after billing setup is complete.

If no rules or restrictions are added, members of that program can use the service based on the organization’s general account setup and the program configuration in place.

Yes, users can be assigned to more than one program, depending on how your organization wants to manage different use cases.

Will changes to a program impact users who are already assigned to it?

Yes, when a program is updated, the latest settings and restrictions will apply to the users currently assigned to that program.

Can a program be used for a specific team, location, or purpose?

Yes, programs can be set up to support specific business needs, such as employee travel, team meals, health-related transportation, or centrally managed rides.

Can employees choose between programs themselves?

Employees can only choose from the programs they’ve been assigned to by their organization.

What should I do if I’m not sure which program to set up first?

What happens if a Program Manager is not assigned?

The program can still be created and managed by Admin without a Program Manager. Assigning a Program Manager is optional.
