How business activity is paid for depends on the billing setup selected for your Uber for Business organization. The default billing for an employee travel or meal program is pay per trip/order, which means the credit card on file will be automatically charged after each completed trip or order.
Eligible new organizations that use employee Travel or Meals may be able to choose between Employees pay and expense later and Your company pays during onboarding.
With Employees pay and expense later, employees pay for eligible business rides and meals using payment methods on their individual Uber accounts.
The organization does not use a shared company payment method to pay for eligible employee Travel and Meals activity.
Administrators can continue to manage applicable Travel and Meals policies and controls and access applicable activity and reporting through the Uber for Business dashboard.
Employees should follow their organization’s expense and reimbursement policies for eligible business expenses.
With Your company pays, your organization pays for eligible business activity according to its configured billing setup. When you set up an Uber for Business account, you’ll be asked to add a payment method. We accept all card types issued under Visa, Mastercard and AMEX.
Depending on your organization’s eligibility and location, this may include Pay Per Trip, Monthly Billing, or other supported company billing arrangements.
Employees pay and expense later and Your company pays are selected at the organization level.
They aren’t payment settings that administrators select separately for individual Travel or Meals programs. For example, an organization using Employees pay and expense later can’t configure its Travel program as employee-paid while configuring its Meals program as company-paid.
Employees pay and expense later is only intended for eligible organizations with employee Travel and Meal programs.
Some Uber for Business services require centralized company billing, including Central (Courtesy Rides), Vouchers, Uber Health and certain guest or coordinator-led programs.
If you select a service requiring centralized billing while creating your organization, Employees pay and expense later won’t be available as a billing option.
The Employees pay and expense later or Your company pays choice is made during the initial setup of an eligible new organization.
After billing setup is complete, you can’t use this self-serve onboarding feature to convert the existing organization from one billing type to the other.
If your organization’s billing needs change, contact Uber for Business Support to understand the options available for your account.
