Uber for Business supports several roles, each with specific permissions and responsibilities. Assigning the right roles ensures your business account is managed smoothly and securely.

Benefits of Assigning the Right Roles

Available Roles

Primary Admin:

  • Has complete dashboard access and is the only role that can manage General Admin.
  • Manages billing, payment methods, and account settings.
  • Creates, deletes, or manages General Admin.
  • Controls all programs, groups, trips, and users.
  • Best suited for: Primary account owners or senior leaders trusted with overall control of the business account.

Primary Admin is automatically assigned at the org level, based on the earliest added Admin for existing orgs, and the org creator for new organizations. The Primary Admin can transfer ownership at any time from the People tab.

General Admin:

  • Has full account access aside from managing Admin.
  • Creates and edits programs.
  • Manages billing and payment methods.
  • Adds or removes users (except Admin).
  • Views trips and expenses.
  • Best suited for: Account owners, leaders, Finance leads or IT Administrators.

Billing Admin:

  • Manages billing settings like updating payment methods.
  • Make payments for the organization.
  • Add/update tax information and expense codes
  • Views and downloads invoices and payment history.
  • Runs financial reports related to trips, orders, and statements
  • Best suited for: Finance or procurement teams.

Group Manager:

  • Manages group(s) that are assigned to them.
  • Assigns roles and programs at the group level.
  • Adds or removes members from their group.
  • Best suited for: Team managers or regional leads responsible for a defined group of employees.

Financial Reviewer:

  • View expense and transaction data
  • Tracks employee activity, insights & expenses.
  • Download activity reports
  • Best suited for: Finance analysts, auditors, compliance teams, or managers who need visibility into employee spend and transaction reporting without administrative controls.

Sustainability Reviewer:

  • Monitors sustainability metrics and reports within the Sustainability tab.
  • Generates reports for internal or external sustainability tracking.
  • Best suited for: ESG or sustainability leads.

Activity Reviewer:

  • Reviews all employee activity and insights.
  • Tracks expenses and download activity reports
  • Best suited for: Operations managers, workplace teams, HR partners, or business stakeholders who need visibility into employee activity and usage insights for reporting or oversight purposes.

Travel/meal Program Manager:

  • Edits details, settings, and the users of specific travel and meal programs.
  • View/download the activity for specific program
  • Tracks program usage and monitors compliance.
  • View expense and transaction data for specific programs
  • Best suited for: Travel managers, workplace operations teams, office managers, or program owners responsible for managing specific travel or meal programs

Coordinator:

  • Requests rides and orders on behalf of other employees.
  • Manages logistics for events, guests, or teams.
  • Best suited for: Executive assistants or office Coordinators.

Employee:

  • Accesses assigned programs.
  • Requests rides and places orders for themselves using company payment methods.
  • Best suited for: General employees who need access to company benefits/programs.
